Job Description

We're looking for a highly organized, fast-moving Executive Assistant to support 4 C- Suite Executives with a strong emphasis on travel coordination and calendar ownership.

This role is all about precision, speed, and staying one step ahead-managing complex schedules, handling detailed travel planning (both commercial and private), and ensuring every detail runs smoothly.

You'll be successful in this role if you're proactive, detail-driven, and comfortable operating in a high-energy environment where priorities can change quickly.

This goes beyond traditional admin support. You'll act as an operational partner to leadership-helping manage priorities, driving projects forward, and ensuring executives stay focused on high-impact work.

Key Responsibilities

Calendar & Scheduling

  • Manage and optimize 4 C Suite Executives calendars across time zones
  • Prevent scheduling conflicts and build in appropriate buffers
  • Prioritize meeting requests based on business impact
  • Ensure meetings are purposeful (agenda, attendees, objectives)
  • Coordinate internal and external meetings with professionalism
  • Proactively adjust schedules to improve efficiency and focus

Travel & Logistics

  • Book and manage detailed, multi-stop travel (commercial + private)
  • Monitor travel in real time and resolve disruptions quickly
  • Prepare detailed travel briefings (itineraries, confirmations, boarding passes, access details, ground transport, lodging, dining)
  • Ensure all logistics are confirmed and seamless: hotels, rental cars, car services, on-site access credentials, and last-mile changes
  • Track travel expenses, credits, and loyalty accounts

Projects & Executive Support

  • Assist with special projects from planning through execution
  • Conduct quick research and summarize key insights
  • Draft emails, notes, memos, meeting notes, and decision summaries with a crisp, direct style
  • Support events, offsites, and leadership meetings

Data & Operations

  • Maintain trackers and dashboards (meetings, projects, travel, etc.)
  • Build simple reports and analyses using Excel
  • Create systems, templates, and processes to improve workflows

Execution & Partnership

  • Anticipate issues and solve them before they arise
  • Handle sensitive information with discretion
  • Stay organized across multiple priorities
  • Provide responsive support, including occasional after-hours needs
  • Take on additional tasks as business needs evolve

What Great Looks Like

  • 5+ years supporting executives in a high-demand, fast-paced environment (e.g., high-performance corporate, finance, tech, operations)
  • Experience managing complex calendars and high-pressure priorities
  • Strong judgment and ability to prioritize effectively
  • High attention to detail and accuracy
  • Clear, concise communicator (written and verbal)
  • Advanced skills in Microsoft Office (especially Excel & Outlook)
  • Proactive, resourceful, and solution-oriented
  • Calm under pressure and comfortable with change
  • Trusted with confidential information

Bonus Experience

  • Background in fast-paced industries (finance, tech, operations, etc.)
  • Exposure to private or VIP travel coordination
  • Experience building processes or improving workflows
